SAXOPRINT Limited takes the privacy of your information very seriously. This policy explains how and for what purposes we use the information collected about you via our website (referred to below as the “Site”). Please read this privacy policy carefully. By using the Site and any services we offer via the Site, you are agreeing to be bound by this policy in respect of the information collected about you via this Site.

SAXOPRINT may amend this policy from time to time. Every time you wish to order from our site, you should check this policy.  You are not able to proceed with an order on our Site unless you confirm that you agree with this policy. This policy was most recently updated in July 2017.


1. Collection, processing and use of personal information

You can visit our site without providing personal information. We will only store non-personal access information, such as the name of your Internet service provider, the page from which you are visiting, or the name of the requested file. This information is only analysed for the purpose of improving our offering and cannot be traced back to you.

Personal information is only collected if you voluntarily provide this information as part of your order, when opening a new account or registering for our newsletter. We will use the information you supply without separate consent only to complete and process your order. When you register for the newsletter, with your consent your name and e-mail address will be used for our own advertising purposes until you unsubscribe from the newsletter, which can be done at any time.

We reserve the right to store Customer print data electronically for one year. After that, we will move such data from electronic storage to tape storage; the print data will then be stored on such tape storage for 5 further years. The print data does not contain customer data or other personal data except for an order number (which is included in the name of the print file). On the basis that it is possible to identify the customer from the order number and therefore we treat the storage of such print data in accordance with the provisions of the Data Protection Act 1998. We store this print data for HMRC record keeping purposes, in particular in order to be able to demonstrate to the HMRC that we have correctly identified the applicable VAT rate to the service provided.


2. Forwarding personal information

Your information will be passed on to the shipping company commissioned with the delivery of your product. In order to arrange delivery dates, addresses, telephone numbers as well as e-mail address are shared with the parcel service. Your payment information will be forwarded to the bank commissioned with the payment with respect to payment settlement. Information will not be forwarded to any other third parties. The processing of partner offers which are found on our web pages will be done directly by these partners.


3. Use of Cookies

To enable you to place orders in our Online Shop, a long-term cookie will be set when you access specific pages. These are small text files which remain on your computer. The file is only used to enable you to use certain applications, for example our shopping cart system.

Most browsers will accept cookies by default. You can allow or prohibit temporary and stored cookies separately in your security settings. If you deactivate cookies you may lose access to some features on our site and some web pages may not be displayed correctly.

The information stored in our cookies will never be linked to your personal information (name, address etc.) without your express consent.

Anonymous collection of IP addresses

We use the "Activation of IP anonymisation" function on this website. Your IP address will be truncated by Google within the member states of the European Union or in other states that are party to the Agreement on the European Economic Area. The full IP address will only be transmitted to a Google server in the USA and truncated there in exceptional cases. On behalf of the operator of this website, Google will use this information to evaluate your use of the website, to compile reports on website activities, and to render other services related to website use and Internet use to the website operator. The IP address transmitted by your browser to Google Analytics will not be merged with other data by Google.

b. Use of Hotjar

Our website uses Hotjar, which is essentially a tracking code-based web analytics tool of Hotjar Ltd, Level 2, St Julians Business Centre, 3, Elia Zammit Street, St Julians STJ 1000, Malta. Using Hotjar, interactions by randomly selected, individual visitors to our website are recorded anonymously. The result is a log of, for example, mouse movements and clicks, aimed at identifying opportunities for improving our website.

In addition, information relating to the operating system, browser, inbound and outbound links, geographical origin, as well as the resolution and the type of equipment used, is evaluated for statistical purposes using Hotjar. We also use Hotjar to offer the option of anonymous user feedback by means of 'feedback pools". The information collected is not personal and will not be transferred to third parties by Hotjar Ltd. c. The use of Visual Website Optimizer

Our website uses Visual Website Optimizer, a web analysis service of Wingify, 14th floor, KLJ Tower North, Netaji Subhash place, Pitam Pura, Delhi 110034, India. Visual Website Optimizer is used to test the usability of certain sites. This anonymously collects measurement data about user behaviour. We have no way of assigning this anonymous measurement data to your person - either through the assignment of your IP address or other means. Cookies are used, i.e. the programme uses the function provided by your browser to store information temporarily and access it later in order to obtain meaningful test results. 5. Use of Facebook Social Plugins

Our website uses social plugins of the social network Facebook, which is operated by Facebook Inc., 1601 S. California Ave, Palo Alto, CA 94304, USA ("Facebook"). Our website uses the "+1" button of the social network Google Plus, which is operated by Google Inc., 1600 Amphitheatre Parkway, Mountain View, CA 94043, United States ("Google"). The button is identifiable by the "+1" on a white or coloured background.

When users access the content of our website, which contains such a button, the browser establishes a direct connection to Google's servers. Google transmits the content of "+1" button directly to the user's browser, which then in turn embeds the content in the web page. We have therefore no influence on the data collected by Google using the button and according to Google, no personal data is collected if the button is not clicked. The Youtube server is thereby informed about which of our pages the user has visited. 6. Data Security

We secure our website and other systems against loss, destruction, access, modification or distribution by unauthorised persons through technical and organisational measures. A customer account may only be accessed by entering the personal password of the customer. You should always keep your access information confidential, and close the browser window once communication with us has ended, especially if you are using a shared computer. On some pages we will set up a “web bug” on your computer. This allows us to recognise your computer if it is used to access the site, or use it to find out how advertising activities are received by users. This information is anonymous and not linked to personal information on the computer of the user, or with a database. In order to deactivate web bugs on our pages, you can use tools such as webwasher or bugnosys.

9. Payment

When invoice is selected as the method of payment, in case of legitimate interest SAXOPRINT GmbH reserves the right to carry out a credit check and is entitled to share personal information with the credit reference agency specified below for the purpose of assessing the customer’s credit and obtaining and processing information. Your legitimate interests are taken into account in accordance with legal provisions.

In order to be able to provide you with services prior to payment (payment by invoice, instalments, etc.), we first need to ensure that these payment methods will not be misused and that consumers will be protected against overspending. Our company is therefore linked to the credit risk warning system of the credit reference agency (Creditsafe, Bryn House, Caerphilly Business Park,Van Road,Caerphilly
CF83 3GG, United Kingdom), ensuring protection against defaults in payment due to inability to pay, against misuse based on refusal to pay and against misuse by third parties.

In order to be able to obtain a credit check from the credit reference agency, we provide it with your personal and address information. You can informally retract consent for your data to be shared with the credit reference agency at any time, in which case the payment options available to you will be restricted to advance payment and e-payment. In such a case, we are no longer able to provide you with services prior to payment and, if applicable, must discontinue them.

We also provide the credit reference agency with personal contract information and information about payment behaviour that does not comply with contract stipulations, and obtain the same information regarding your contractual relationships with others that develop during our contractual dealings with you. This information is shared within the bounds of what is legally permissible and solely for the purpose of protecting the legitimate interests of our company or those of another contracting partner, all the while taking into account your legitimate interests and your concerns regarding the termination of reporting. The credit reference agency is only provided with information regarding behaviour that does not comply with contract stipulations if you have expressly provided consent in one of the forms stipulated by the requirements of Sec. 4a, Para. 1, of the German Federal Data Protection Act (Bundesdatenschutzgesetz – BDSG).

Nevertheless, we reserve the right and are permitted by law to provide the aforementioned credit reference agency with your personal information regarding a claim for payment if you are late on a payment, if you have received two warnings in writing following the due date of the payment, if four weeks have passed between the first warning and the reporting, and if you have not challenged the legitimacy of the claim for payment. We will provide you with sufficient notice before providing the credit reference agency with your information. We would like to point out that, unlike in the past, regulations do not require an individual assessment in consideration of your interests to be carried out prior to reporting to the credit reference agency and the process is now automated to a much higher degree.


10. Opening a customer account

Inventory data (name, address, e-mail, telephone number and bank details) as well as usage data (user name and password) will be stored in a customer database when a new customer account is opened. This will enable me to log in using my user name and password and make future purchases without having to re-enter my information.


11. Consent for e-mail advertising

You may consent to receiving interesting offers by regular e-mail. Your e-mail address will not be forwarded to other companies. If you decide to discontinue receiving these services in the future, you can withdraw your consent at any time.
